Policy
Lotus Luxury Escapes, LLC provides travel coordination and booking services based on the details submitted in the client inquiry form and the confirmed itinerary. Services may include, but are not limited to:
Flight arrangements
Hotel or resort accommodations
Ground transportation and transfers (when included in the reservation)
Supplier updates and travel advisories
Travel document coordination and reminders
Payment tracking and booking management
General itinerary coordination
Excursion Coordination & Package Add-Ons
Lotus Luxury Escapes, LLC coordinates core travel bookings, which include flights, hotel or resort accommodations, and standard transfers when included in the reservation.
Additional services or requests outside of the confirmed itinerary such as excursions, celebrations, private dining reservations that require décor and custom food menus, private in-destination transportation, private tours, or concierge-style arrangements must be requested separately.
These services require additional coordination and planning and will involve separate costs from the general travel package. Pricing is determined by third-party vendors based on the specific service requested.
An initial deposit is required to secure your reservation. Deposits are required for each traveler, including children, who will be included on the same booking and room reservation. Once all required deposits are received, your booking will be activated. Please note that pricing and availability cannot be guaranteed until the required deposit or full payment has been received for all travelers on the reservation.
After your initial deposit is made, you may make additional payments toward your vacation at any time before the final payment deadline.
Final payment dates are set by our travel suppliers and are based on their payment policies. These dates cannot be extended, as suppliers must receive full payment by the specified deadline. Unless otherwise arranged, all final payments are due by 4:00 PM EST on the scheduled due date.
If a balance remains unpaid after the final payment deadline, the travel supplier may automatically cancel the reservation. If you anticipate any issues meeting a payment deadline, please contact Lotus Luxury Escapes as soon as possible so we can review available options with the supplier.
Lotus Luxury Escapes LLC is not responsible for reservations canceled due to missed payment deadlines. Once a supplier cancels a reservation for non-payment, reinstatement is typically not possible.
Clients are responsible for providing accurate traveler information, including legal names exactly as they appear on government-issued identification and travel documents.
A clear copy of each traveler's passport is required for all international travel bookings. Passport copies help ensure that names, dates of birth, and other traveler information are entered accurately. Delays in providing passport copies may delay the booking process.
Lotus Luxury Escapes, LLC is not responsible for any costs, fees, denied boarding, missed travel arrangements, or other travel disruptions resulting from incorrect, incomplete, or outdated traveler information provided by the client.
Clients are responsible for obtaining and maintaining all required travel documents, including passports, visas, vaccination records, and any destination-specific entry or exit requirements.
Many international destinations require passports to be valid for at least six (6) months beyond the traveler's return date. It is the traveler's responsibility to verify passport validity and ensure compliance with all destination requirements prior to travel.
Changes to an existing reservation may be requested at any time; however, all modifications are subject to supplier approval and availability.
Requested changes may include travel date adjustments, resort changes, room category upgrades or downgrades, passenger additions or removals, or other itinerary revisions. Please note that any approved changes may require your reservation to be repriced based on current market rates and supplier pricing at the time the modification is made.
All change requests must be submitted through your TravelJoy client portal to ensure proper documentation and processing.
Some travel suppliers may assess change fees for certain modifications, including but not limited to name changes, passenger substitutions, date changes, or other reservation adjustments. Any applicable supplier fees are the responsibility of the traveler and will be communicated prior to processing the requested change.
All cancellation requests must be submitted in writing through email or the designated TravelJoy client messaging platform. To ensure proper documentation and timely processing, cancellation requests submitted through social media messages or text messages cannot be accepted.
A cancellation processing fee of $25.00 per traveler, per reservation applies and must be paid directly to Lotus Luxury Escapes, LLC prior to cancellation processing.
Agency cancellation fees are separate from any supplier-imposed cancellation penalties, non-refundable deposits, airline fees, or travel protection plan terms and conditions.
The frequency and nature of previous cancellations may be considered when approving future booking requests and payment plan options. Lotus Luxury Escapes reserves the right to require structured payment plans, full payment at the time of booking, or to decline future booking requests at the agency's discretion.
Clients utilizing our no-credit-check payment plan option are responsible for submitting payments before or on the scheduled final payment date.
If you anticipate difficulty meeting your final payment deadline, please contact Lotus Luxury Escapes through your TravelJoy client portal as soon as possible. To ensure timely assistance, please do not submit payment-related requests via text message or social media. While we cannot guarantee extensions or alternative arrangements, we will gladly work with our travel supplier to explore any available options. Any payment accommodations are subject to supplier approval.
Clients who miss final payment deadlines may no longer qualify for our flexible "pay at your own pace" payment plan option. Future reservations will require enrollment in a structured payment schedule with fixed monthly or bi-weekly payments to help ensure the reservation remains in good standing.
Service & Planning Fees
All service fees, planning fees, consultation fees, and research fees are non-refundable once services have been rendered.
Services are considered rendered once a personalized travel proposal has been prepared and delivered through the TravelJoy client portal. Any research, itinerary planning, quote preparation, supplier coordination, or proposal revisions performed on your behalf constitute completed professional services.
By engaging Lotus Luxury Escapes to research and prepare travel options, clients acknowledge that service fees compensate the travel advisor for time, expertise, and planning services provided. As such, Lotus Luxury Escapes reserves the right to retain all applicable service fees once services have been rendered.
Travel Protection & Insurance
Refund eligibility for travel reservations is determined by the travel supplier and the travel protection or insurance plan selected at the time of booking.
Clients with qualifying travel insurance coverage may be eligible for reimbursement or refunds to their original form of payment, subject to the terms and conditions of the insurance provider and travel supplier.
Clients who purchase travel protection plans may be eligible for future travel credits, vouchers, or other benefits as outlined in their selected protection plan. For airfare credit vouchers, the flight portion of a booking must be paid in full at the time of cancellation in order for airlines to issue an air credit voucher.
Lotus Luxury Escapes does not directly determine refund eligibility for existing bookings and cannot guarantee refunds, credits, or claim approvals. All refund requests and insurance claims are subject to the policies and decisions of the travel supplier and/or insurance provider.
Declining Travel Protection Coverage
Lotus Luxury Escapes offers travel insurance and/or travel protection options to all clients at the time of booking. The purchase of travel insurance or travel protection is optional and may be accepted or declined at the client's discretion.
Clients who choose to decline travel insurance or travel protection understand that cancellation penalties, supplier fees, and non-refundable travel components may apply in the event of illness, medical emergencies, scheduling conflicts, weather disruptions, personal circumstances, or other unforeseen events.
For reservations booked without travel insurance or travel protection, clients should not expect airfare credits, airline refunds, resort credits, future travel vouchers, or reimbursement for canceled travel arrangements unless specifically permitted by the travel supplier's terms and conditions.
By voluntarily declining travel insurance or travel protection, clients acknowledge that they are assuming the financial risk associated with changes, interruptions, or cancellations to their travel plans and may forfeit all monies paid toward their reservation.
By submitting payment, clients acknowledge and authorize Lotus Luxury Escapes, LLC to process charges for approved travel services, deposits, planning fees, cancellation fees, and any applicable supplier charges associated with their reservation.
Clients agree to contact Lotus Luxury Escapes directly regarding any billing concerns so that we may work toward a resolution prior to initiating any dispute.
Initiating a chargeback or payment dispute for a valid, authorized charge may result in cancellation of services, recovery of associated costs and fees, collections activity, and legal remedies where permitted by law, as well as restriction from future bookings with Lotus Luxury Escapes.
Lotus Luxury Escapes, LLC is committed to providing a professional, respectful, and high-quality client experience.
We reserve the right to decline future bookings, adjust payment terms, limit payment options, discontinue services, or refuse service at our discretion in order to maintain the integrity of our operations and client experience. This may include situations such as:
Repeated late or missed payments
Non-payment or canceled reservations due to non-payment
Automatic cancellations by travel suppliers
Chargebacks or payment disputes
Abusive, disrespectful, or inappropriate communication or behavior
Violation of agency policies or booking terms
These decisions are made to protect both our agency and our clients and ensure a smooth and reliable booking process for all travelers.
